Code of Conduct Leuchie believes that all individuals involved with or acting on behalf of people affected by long-term physical conditions should respect one another and work constructively to achieve common goals. We therefore require that all those connected with or acting on behalf of Leuchie take personal responsibility for undertaking the following: To be a positive ambassador for Leuchie and ensure that you take no purposeful action or make any comment which might damage Leuchie. To show respect to all and a commitment to access and inclusion for all individuals connected to Leuchie, understanding that no form of harassment will be tolerated. To recognise that Leuchie House is a democratic organisation, to abide by decisions made by its elected committees and to work with others to resolve any conflicts, which may arise. As per SSSC and NMC guidelines/regulations staff must not befriend guests on social media. We would request that volunteers adhere to this also. This Code is a statement of the values that we will uphold in all our dealings and that we will expect others to maintain when working/volunteering with us. Code of Confidentiality 1. Definition of confidential information 1.1 Confidential information is data on individuals, or their ideas, which is personal to them and by which they could be identified. 1.2 Information regarded as confidential may be written or verbal, ranging from telephone conversations to employment and medical records. 1.3 Categories of confidential information include: Details by which a person can be identified: name, address, telephone number, photograph Identification as having a particular medical condition Personal details; problems, emotional state, need for equipment or financial assistance Financial information 2. Confidential to Leuchie 2.1 Personal data is confidential and held on trust. It should not be discussed outside Leuchie House, nor unnecessarily in general conversation, and must not be used by members or agents of Leuchie House for their own purposes. 2.2 Any information relating to the operation of Leuchie House is strictly confidential and should not be discussed out-with Leuchie. 3. Records which can be held 3.1 Records (both on paper and on computer systems) should be kept to the minimum needed. If unsure, seek advice from the CEO. 3.2 Permission must be sought before holding or updating personal data. Individuals must be made aware that their data is being recorded and have the right to refuse. 4. Personal responsibility 4.1 All staff, contractors and volunteers must take personal responsibility for not breaching confidentiality. 4.2 On social media never discuss or disclose any personal information regarding guests, volunteers, board members or colleagues of Leuchie, including organisational matters. 5. Access 5.1 Access to personal details is limited to those with a genuine need as part of their work for Leuchie. 5.2 A specified individual should manage access to each set of records. 5.3 Access must be secured via passwords and lockable cabinets. 5.4 Passwords and keys must not be shared. 5.5 No access or information will be provided to external parties without consent. 5.6 Third-party confidentiality codes must be respected. 5.7 All participants must respect individuals’ wishes regarding contact preferences. 6. Disclosure of information 6.1 Individuals may request access to their data within 30 days. Requests must be verified and sent to Leuchie House marked “Data Protection”. 6.2 Disclosure should only occur when absolutely necessary and in the individual's best interest. 6.3 The CEO will arbitrate in cases of uncertainty.
