Safe Keys Management

Policy: The reception safe key and petty cash key are kept together and are the responsibility of the authorised key holders

Authorised safe key holders:

  1. Nicola Collin – Reception safe keys
  2. Reception Lisa Payne/Rhona Hartley – Reception safe keys
  3. Nurse in Charge out of office hours – Reception keys
  4. Heather Samuel -Accounts

Procedure:

  • Keys must be signed in and out
  • The signature folder is kept at reception (pink folder).
  • Nursing staff/senior carers will hand keys to reception staff on a weekday morning.
  • The date and time of the transaction should be recorded.
  • One signature and one set of initials are required for each transaction.
  • At the end of the day, reception staff will hand keys over to the nurse in charge and folder is signed.  In the absence of the nurse in charge, senior carers can sign for the keys and pass them to the nurse in charge as soon as possible.  Keys should then be put on the nurse’s main keys until returned to reception.
  • Nurses are responsible for safe keys throughout the weekend for preparation of trip/shopping money.
  • Keys to be put into Bookings drawer at a closed week-end.
